1. Who We Are

GrowthStar Systems LLC ("GrowthStar," "we," "us," or "our") is a Missouri limited liability company that builds and operates automated lead-response systems for local service businesses, including but not limited to HVAC, roofing, plumbing, dental, real estate, and legal practices. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices available to you.

This policy applies to our clients (the businesses that engage GrowthStar's services), the leads and customers of those clients whose information passes through our systems, and visitors to growthstarsystems.com.

2. Information We Collect

We collect the following categories of information in the course of providing our services:

• Client business information: business name, contact details, industry, service area, and account credentials required to configure and operate the automated system on the client's behalf.
• Lead contact information: names, phone numbers, email addresses, and inquiry details submitted by a client's prospective customers through forms, calls, or other lead sources connected to our system.
• Email content processed via Google OAuth: when a client connects their business Gmail account, our system accesses only what is required to send automated responses and read relevant incoming messages tied to lead activity. We do not access a client's Google password at any point — authentication is handled entirely through Google's OAuth protocol, and a client may revoke GrowthStar's access at any time from their own Google Account security settings.
• SMS activity: phone numbers and message content sent or received through the client's connected Twilio number as part of the automated follow-up sequence.
• Payment information: processed directly by Stripe. GrowthStar does not store full card numbers or banking credentials on its own systems.
• Scheduling information: information submitted when booking a call through Calendly.
• Website usage data: basic technical information (such as browser type and general location) collected when visiting growthstarsystems.com.

3. How We Use Information

Information collected through a client's connected accounts is used solely to operate the automated lead-response and follow-up service for that specific client. Specifically, we use collected information to:

• Generate and send personalized responses to new leads via email and SMS
• Run scheduled follow-up sequences on the client's behalf
• Log and track lead activity so the client has visibility into their pipeline
• Maintain, monitor, and troubleshoot the client's automated system
• Communicate with clients about their account, billing, or service updates
• Improve the reliability of our own systems

We do not sell client data, lead data, or any personal information to third parties, under any circumstances. We do not use client email content or lead information to train third-party AI models beyond the standard processing required to generate a given response in real time.

4. Third Parties We Work With

To operate our service, GrowthStar connects to a limited set of third-party providers. Each is used for a specific, defined purpose:

Each of these providers processes data under their own respective privacy and security terms. We select providers that maintain industry-standard security practices, and we limit the data shared with each to what is necessary for their specific function.

5. Data Retention & Deletion

We retain client and lead data for as long as a client's service agreement with GrowthStar is active, in order to continue operating the automated system and provide accurate lead tracking.

Upon termination of a client's contract, all associated client and lead data is deleted from GrowthStar's systems (including Airtable) within two (2) weeks. This includes revoking any active OAuth connections and disconnecting associated Twilio numbers from our system. Some third-party providers (such as Google or Stripe) may retain records independently in accordance with their own policies and applicable law — GrowthStar does not control retention on third-party platforms once a connection is revoked.

6. Your Rights & Choices

If you are a GrowthStar client, a lead whose information has passed through a client's connected system, or a visitor to our website, you may:

• Request a copy of the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal information, subject to any legal or contractual obligations that require us to retain certain records
• Revoke GrowthStar's access to a connected Google account at any time directly from your Google Account security settings
• Ask questions about how your information is used

7. Data Security

We take reasonable technical and organizational measures to protect the information we handle, including restricting access to client and lead data to what is necessary to operate the service, and relying on reputable third-party providers that maintain their own security standards. No method of electronic storage or transmission is entirely secure, and we cannot guarantee absolute security.

8. Children's Privacy

GrowthStar's services are intended for use by business entities and are not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.

9. Changes to This Policy

We may update this Privacy Policy from time to time as our practices or legal obligations evolve. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated to active clients directly.
